This Public Document Archive Policy is Draft v0.1 for Founder Review and Legal Review. It is Not Attorney Reviewed, Not Board Approved, and Not Published. It is not legal advice and is subject to applicable law and attorney verification.

Purpose

This policy defines proposed criteria and controls for the Florida Principles PAC public document archive.

Scope

This policy applies to public website archive entries, downloadable public documents, approved reports, policies, governance publications, filings, minutes, registers, and historical public records designated for publication.

Definitions

• Archive item: A document or record approved for public archive publication.
• Publication status: The approved state of a document for public release.
• Restricted record: A record excluded from public archive publication because of privacy, legal, attorney-note, draft, security, or governance restrictions.

Policy Statements

The archive should publish only documents approved for public release. Drafts may appear only when clearly marked as draft review materials. Attorney notes, restricted records, private data, and PoliticalPedia internal datasets must remain separated unless specifically approved.

Archive entries should identify title, version, status, source, date, and related documents.

Responsibilities

The publication owner approves archive entries. Records owners classify source records. Technical owners maintain archive presentation and access controls.

User Rights and Responsibilities

Users may request public archive clarification or report broken links. The archive does not guarantee that every internal record is public.

Prohibited Conduct

Restricted records must not be published through the public archive. Users must not attempt unauthorized access to nonpublic files.

Review and Enforcement

Archive entries should be reviewed before publication and periodically audited for status, links, and restricted-file exclusions.

Corrections or Appeals Process

Requests should identify the archive item or missing record and the requested action. Publication decisions may depend on governance, legal, privacy, and compliance review.

Records and Retention

Archive publication decisions, source paths, versions, approvals, and removals should be retained as publication records.
